Billing

Billing is available to workspace Admins at AdminBilling.

Overview

The Billing tab shows your current plan and usage against that plan's limits:

Metric What it counts
Datasets Number of cards in the workspace
Members Number of workspace members
Total rows Records across all cards
AI calls this month AI-assisted actions (metadata generation, field suggestions, etc.), resets monthly

Each usage metric is shown as a bar that turns orange as you approach the limit and red once you reach it.

Upgrade your plan

  1. Go to AdminBilling.
  2. Click Upgrade on the Teams or Business plan card (shown when you're currently on Free).
  3. You're redirected to a Stripe Checkout page to enter payment details and confirm the subscription.
  4. On success, you're returned to the Billing tab with your new plan active immediately.

If you're already on a paid plan and want to move to the other one, click Switch to Teams / Switch to Business instead — moving up (Teams → Business) applies immediately with prorated billing; moving down (Business → Teams) is scheduled the same way a cancellation is, see below.

Note

Only workspace Admins can change the plan.

Cancel or downgrade your subscription

Billing → Cancel subscription (shown when you're on a paid plan) and downgrading to a lower paid tier both work the same way:

  1. Click Cancel subscription, or Switch to Teams from Business.
  2. If the workspace has cards or rows that would no longer fit under the target plan, a confirmation dialog shows how many cards would end up locked (see below) based on today's usage.
  3. Confirm. Nothing changes immediately — you keep full access on your current plan until the end of the paid period you already paid for.
  4. A banner on the Billing tab shows the scheduled change and its effective date, with an Undo button to cancel the scheduled change before it takes effect.

When the change takes effect, the workspace owner gets an email confirming the new plan.

Card locking after a downgrade

If a downgrade (or cancellation to Free) leaves the workspace over its new plan's Datasets or Total rows limit, cards aren't deleted or hidden — they still appear in the catalog — but the ones that don't fit under the new limit can no longer be opened.

Which cards stay open is decided by creation date: cards are kept accessible oldest-first, up to whichever limit — dataset count or cumulative row count — is hit first. A locked card shows a Locked badge and opens the upgrade prompt instead of the card when clicked.

Admins can still manage locked cards without opening them — rename, archive, delete, or transfer ownership from AdminCards (see Cards panel) — which is how a workspace gets back under the limit. Upgrading again unlocks every card automatically.

Manage invoices and payment method

Stackify doesn't yet have a self-serve billing portal for invoices or payment methods. If you're on a paid plan and need to update your payment method or view past invoices, use the contact us link on the Billing tab — it opens an email to hello@stackify.se with the subject pre-filled to Billing.

What happens on plan changes

  • Upgrades (Free → paid, or Teams → Business) take effect as soon as Stripe confirms the change.
  • Downgrades and cancellations take effect at the end of the current paid period, as described above.
  • If a paid subscription is changed or cancelled directly in Stripe (for example, by our support team on your request), the same rules apply and the workspace owner receives an email notifying them of the change.
